This explains what we collect when you use webbutler.uk, why, and what you can do about
it. We have written it to describe what this website actually does rather than to cover
every eventuality, so it is shorter and more specific than most.

What we collect, and why

When you send us an enquiry

Our enquiry forms ask for your name and email address, and depending on the form may
also ask for your phone number, business name, sector, current website address, rough
budget, timescale and a message. Only your name, email and a description of what you need
are required. Everything else is optional and exists so that our reply is useful rather
than generic.

We use it to answer you, and to prepare a quote if you want one. We do not sell it, we
do not pass it to anyone for marketing, and we will not add you to a mailing list because
you sent an enquiry.

Enquiries are stored in this website’s database and emailed to us. The email is sent
through SendGrid, which handles delivery on our behalf.

When you just visit

We use Google Analytics 4 to understand which pages are useful and
where people give up. It is switched off until you agree to it. Nothing analytics-related
is stored on your device, and no analytics data is sent, unless you accept the cookie
notice.

Our web server keeps standard access logs, including IP addresses, as every web server
does. These are used for security and diagnosing faults.

Spam protection

Our forms are protected by Google reCAPTCHA v3. It works invisibly:
there is no checkbox and nothing to solve. To decide whether a submission is likely to be
automated, Google collects information about your device, browser and behaviour on the
page. Google’s privacy

and terms apply
to that processing.

We also limit how many submissions can come from one internet connection in an hour. To
do that we store a one-way hash of your IP address for one hour and then delete it. The
original address is not kept.

Cookies and consent

This site sets no analytics or advertising cookies until you say yes. When you first
visit you will see a short notice with two options. Whichever you choose is remembered in
your browser’s local storage under wb-consent so we stop asking.

If you accept, Google Analytics sets its own cookies to tell repeat visits apart. If you
decline, it does not load and nothing is stored. We use Google’s Consent Mode, which starts
in a denied state, so the choice applies from the very first page rather than after the
fact.

If you log in to a client area, WordPress sets cookies to keep you logged in and
remember your screen preferences. Login cookies last two days, or two weeks if you tick
“remember me”. These are strictly necessary and cannot be turned off while you are
logged in.

Who else sees your data

  • Google, for Analytics (only with your consent) and reCAPTCHA.
  • SendGrid, which delivers the email notification of your enquiry.
  • Our hosting provider, which stores the website and its database.

That is the complete list. We do not sell data and we do not share it with advertisers.

How long we keep it

Enquiries are kept for as long as there is a reasonable prospect of working together,
and for up to three years afterwards so we have a record of what was discussed. Ask us to
delete yours sooner and we will. Rate-limiting hashes are deleted after an hour. Analytics
data is retained according to our Google Analytics settings.

Your rights

Under UK GDPR you can ask us for a copy of the data we hold about you, ask us to correct
it, ask us to delete it, or object to how we are using it. Email
[email protected] and we will deal with it within
one month. There is no charge.

If you are unhappy with how we have handled your data you can complain to the
Information Commissioner’s Office at ico.org.uk.

Security

The site is served over HTTPS, kept up to date, and backed up. No website can promise
perfect security, but we treat other people’s data the way we would want ours treated.

Changes

If we change how we handle data we will update this page and change the date at the top.
Material changes will be flagged on the site rather than made quietly.
